Who we are.

From a small idea sparked in Glasgow to a growing creative social enterprise with a mission rooted in community, learning and access, House of Toad has come a long way in a short time. Founded in 2024 as a Community Interest Company by Joanna Susskind, House of Toad was created in response to something many people were feeling but didn’t have a solution for: Loneliness, isolation, lack of creative opportunity, and the challenge of finding spaces that feel welcoming and inclusive. Today, HOT is a workspace, a studio, a learning hub and community space that brings together freelancers, artists, remote workers, young people, neighbours and visitors, under one roof, with one shared purpose:

We operate as a mixed‑income social enterprise, meaning our coworking members, studio holders and venue hirers directly help fund subsidised creative education for people who would otherwise face barriers. Work, learning and community support each other every day and that’s what makes HOT special. Despite our rapid growth, House of Toad CIC remains intentionally small, warm and human. The atmosphere is friendly, informal and collaborative, where people know one another by name and where creativity spills naturally across disciplines and age groups. Role overview.

Studio & Operations Administrator
House of Toad CIC — Glasgow, on site
4 days per week — £27,000 (28 hours)


This is a practical, varied operations and administrative role for someone who enjoys organisation, problem-solving and making things run smoothly. You will be a key part of the day-to-day running of House of Toad, supporting members, maintaining systems and ensuring the practical details behind the organisation are well managed. Working with the Founder and the wider team, you will help keep HOT organised, efficient and welcoming as the organisation continues to grow.

The role combines administration, systems, member support and operational coordination. It is ideal for someone who enjoys variety, takes pride in doing things properly and likes being the person who keeps everything moving.

Key Responsibilities.

  • Oversee day-to-day operations of the building and workspace

  • Act as a point of contact for calls, deliveries and general enquiries

  • Support new member and customer onboarding

  • Assist members with queries and troubleshoot issues in Nexudus

  • Manage invoicing, payments and financial administration

  • Maintain stock levels, equipment and kit storage

  • Maintain organised digital files, records and documentation

  • Support event, course and programme coordination

  • Liaise with suppliers, landlord and service providers

  • Maintain safety compliance and operational documentation

  • Support volunteer groups, subcontractors and onsite activity

What you bring.

  • Experience in administration, operations or a similar support role

  • Strong organisational and time-management skills

  • Confidence using digital systems and learning new software

  • Experience managing records, processes and information

  • Good attention to detail

  • Confidence communicating with different people and organisations

  • A proactive approach and willingness to take responsibility

  • Happy multi-tasking

  • Experience in the following is desirable, though not essential: Notion, Canva, Xero, Google Workspace, Squarespace, Eventbrite, Meta Business Suite
